Job Title: Administrator: Service Stock - Allandale

To operate within defined parameters as set out in the Policies, processes and procedures as well as under the guidance from the Production planning Supervisor by monitoring service stock requirements and exchanges required throughout the repair process. Responsible for Variance reconciliation and maintain correct stock on hand at all times. Execution and planning of monthly stock takes with accurate counting and constant follow up with outstanding service stock deliveries from Manufactures in accordance to SLA requirements. The purpose of this position is to control the flow of handset exchanges throughout the repair process. Accurate Service stock forecasting Communication to all Manufactures on replenishment of service stock In Warranty. Maintain service stock on hand vs system Follow up On time delivery from Manufactures Highly dynamic and fluctuating Manufacture demands and requirements Variance reconciliation in accordance to Policy and KPI standards set by Management
Task Complexity: Operations Forecasting of In and Out of Warranty service stock requirements on a weekly basis. Comply with Manufacture SLA Adherence/ ESC requirements and escalate when breached. Ensure minimum repaired handsets in Awaiting exchange statuses. Adhere to all security requirements in accordance to PPP’s Stock take adherence in line with PPP’s Systems Ensure system applications are adhered to at all times Ensure system transactions are adhered to in line with PPP’s. Reports Report on Daily Submission of orders received Report on Daily Submission of orders outstanding and short received and escalate to Management Report on Daily Submission of back orders. Daily Report and monitor exceptions on AEX live statuses. Weekly monitoring of service stock on Operating system to ensure system matches physical. Weekly Accurate reporting on statistics in HVRC Midrand service stock availability. Monthly Variances reconciliation report. Monthly Obsolesce report Daily submission of Service stock Invoice’s (Delivery Notes) to Finance for Capturing. Financial Functions Ensure all invoices received from Manufactures are send to Finance department for payment. Reconciliation of Monthly Variances and submission of claims as per Policy. Submission of all invoices received from Manufactures to Finance department Maintain 2 % and below Obsolesces. Quality Adherence to SLA and PPPs – in line with operations and manufacturers Ensure that accuracy is maintained on Operating system with regard to exchanges and receipting of service stock. Control the overall TAT for HVRC Service stock (AEX)as per set target by Management from time to time) Chasing/expediting through Supervisors for on time release of repaired handsets, prioritizing repairs and all other teams to ensure dispatch of handsets same day to meet TAT targets. Conformance to ISO standards Ensure quality checks are adhered to prior to dispatching handsets. Ensure handset contents verified prior to dispatching unit Stock and Service Stock administration Stock take adherence in line with PPP’s Ensure service stock for new products are ordered 2 weeks ahead of product release and receipted. Ensure sufficient stock on hand at all times. Monitoring of slow moving stock and escalate your direct report weekly. Receipting and issuing of service stock to all technicians Immediate escalation of shortages. Storage of faulty service stock according to policy. Ensure 2% Obsolescence is maintained monthly with escalation to Management. Fully accountable for Stock take execution and clearance of in transit report prior to snapshot. Reconcile all Stock Variances within specific times frames set by Management. Clear labelling of all bins for service stock department Accountable for dispatching faulty service stock to Manufactures and daily follow up for collection. Packing and labelling of all service stock for clear identification and allocation of new stock arriving. Communicate all new service stock delivered to internal Supervisors. Execution of RTV’s on non supply of spares. Record Keeping of Delivery notes and receipting of % swap stock from Manufacture. Role Dependencies IS Courier Dealer, Franchise and Retail channels not completing documentation correctly. Staff Security, Outsource Partners
Tertiary qualification in Stock / Inventory Control or Diploma in Warehouse Management.
3 Years Administration experience within a Inventory control 2 Years, Oracle and RMS experience 1Years courier Logistics experience 1 Year Customer service Liaison
